  • Decision-making context split across chat, email, and attachments

  • Unclear retention outcomes (“kept forever” or “deleted inconsistently”)

  • Limited ability to package a complete and auditable record set for review

This becomes visible during the moments that matter most:

  • Regulatory Exams

  • Dispute Resolution

  • Fraud Investigations

  • Underwriting Exception Reviews

  • Litigation Holds and eDiscovery

Collaboration tools are essential—but they are not, by themselves, a defensible recordkeeping model.

A mature approach typically separates:

  • the collaboration layer (where work happens), and

  • the governed record layer (where official records are captured, secured, retained, and evidenced)

This isn’t about restricting collaboration. It’s about ensuring that when collaboration generates regulated outcomes—approvals, decisions, exceptions—those outcomes become defensible records.
